Online Group Video and Voice Discussions

During the 2020 public health crisis, certain AAWE events will avoid in-person meetings and members may wish to use Zoom or Google Hangouts to stay in touch while self-isolating.

Here are some easy-to-follow step-by-step instructions on how to use Google Hangouts as a participant.

1. You will need a computer or a smartphone with a camera that can see you (called a "front-facing camera"). Most modern laptops and smartphones have this option.

2. You can test out the Google Hangout in advance ahead of a meeting! See the Laptop Instructions and the Smartphone Instructions below.


Laptop Instructions

Go ahead and click on the link to the Google Hangout. If you received an email with a calendar invitation, click the link that says “Join video call.”

  • A new browser window will pop open (in Safari, in Chrome or in Firefox).
  • You may be asked to "allow" Hangouts to use the microphone and the camera - you must agree to this!
  • Then, in the window, there will be a green button that says "join hangout." Click this button. If you don't click this button, you will be in the "waiting area" but not in the meeting.
  • When you join, you might be alone: this is normal, because the meeting might not have started yet. ;-)


Smartphone or Tablet Instructions

First, you will need to download the app called "Google Hangouts." To do this, you must go to the App Store (iPhone) or Google Play (Android) and search for Google Hangouts. Then press download.

After the download is complete, open the app for the first time.

  • You may be asked to "allow" Hangouts to use the microphone and the camera - you must say that yes, you agree! Two pop-ups will likely ask you these questions.
  • You may also need to sign in to your Google Account. Make sure you sign in to the account where you received the invitation to join the Hangout! ---> This can be a challenge that you face, so keep this in mind.

Then, go click on the specific link to the Google Hangout you want to join.  If you received an email with a calendar invitation, click the link that says “Join video call.”

  • This should automatically send you to the Google Hangouts App, and you will see a button to "join the hangout" and you can click this.
  • When you join, you might be alone: this is normal, because the meeting might not have started yet. ;-)

Special Note on the Size of the Group: There is a 10-person limit to the number of participants when you create a Google Hangout with a personal Gmail account. If you want to organize an event with more than 10 people, you must use a professional account.
